Request to add or remove Charter Administrator to ASBCS Online

As part of the ongoing efforts of the Arizona State Board for Charter Schools (Board) to leverage the capabilities of the new ASBCS Online System (AOS) and to further reduce administrative burden on charter schools, Board staff are happy to announce the ability for each charter holder to add one Charter Administrator (Charter Admin) to its charter holder profile. 

This new feature is being added based on feedback the Board staff has received from Charter Representatives during the Board’s development with the new platform. 

What is a Charter Administrator (Charter Admin)?

  • The Charter Admin is a new user role in the AOS that has been created. The Charter Admin will have similar access  to the AOS as the charter representative(s) with one exception, the ability to submit. 
  • The Charter Admin will be able to complete tasks such as initiating forms (including amendments), uploading documents, and finalizing required forms in AOS on behalf of the charter representative(s).
  • For entities with more than one charter holder contract, the same person can be assigned as the Charter Admin to all the contracts or the charter holder can designate different individuals for different contracts. 
  • The Charter Admin form does not grant the named individual permission to speak with Board staff on behalf of the charter holder/charter representatives. What will the Charter Rep still be required to do?

  • All final signatures and submissions, regardless of process, must still be performed by a charter representative, not the Charter Admin. This ensures that the submission has been reviewed and approved by a charter representative, consistent with the charter’s contract. 
  • To complete a submission, the charter representative will log into AOS, locate the desired process or required submission, review the submission, and submit it to ASBCS.
  • All official communications from the Board will still only be sent to the charter representatives via  email. 

How do I add a Charter Admin?

Adding a Charter Admin to your charter holder account is optional. If you choose to not use this feature, no further action is required. 

If you choose to use this feature, the Request for Adding or Removing a Charter Administrator form is required to be completed and submitted to Board staff. This Google form must be completed and signed by a current charter representative and not the charter admin being added. Additionally this same form will be used to remove charter admin privileges when/if the situation arises. 

Upon receiving the Request for Add or Removing a Charter Administrator form, Board staff will review the request and contact the charter representative if there are any further questions. Once Board staff have created the charter admin profile, the charter representative(s) and the new charter admin will be notified of its completion.
